Overview

We are seeking a Procurement Specialist to support the Pilot Bioproduction Facility (PBF) at the Walter Reed Army Institute of Research (WRAIR) in Silver Spring, Maryland.

Responsibilities

  • Monitor stock levels to avoid shortages or excess inventory.
  • Track consumption rates and adjust planning strategies accordingly.
  • Identify and implement opportunities for process efficiency and cost savings.
  • Track purchase request approvals and keep Project Management, MSAT, and Operations Teams informed of order status.
  • Responsible for the maintenance and filing of all documentation for purchase orders.
  • Maintain a safe workplace and attend all required safety training.
  • Perform other duties as assigned.
  • Establish and maintain outside vendor relationships.
  • Prepare, submit, and order raw materials and supplies for PBF.
  • Work with Finance to reconcile invoices, purchase orders, and cost tracking.
  • Responsible for follow-up on tracking of open and closed POs.
  • Maintain a SmartSheet tracking all purchase orders.
  • Prepare and submit purchase orders for outside QC testing.
  • Responsible for maintenance of office supply orders and inventory.
  • Assist with routine purchasing and standard ordering tasks.
  • Maintain vendor contact details and update internal supplier lists.
  • Generate basic reports on ordering activity, spend, and delivery status.
  • Support routine problem-solving (e.g., late orders, invoice errors).
  • Work closely with warehouse staff to ensure timely receipt of goods.
  • Escalate issues to Senior Procurement Specialist when needed.
  • Backfill the Senior Procurement Specialist as required.

Qualifications

  • A bachelor’s degree and four years of relevant experience, or an equivalent combination of credentials and experience.
  • Experience. A minimum of 3 years’ experience is required in a supply chain management setting that includes general supply activities, ordering, receiving, customer support, inventory management, warehousing, and operation of various materials handling equipment.
  • Proficiency in MS Excel and Smartsheet.
  • Excellent documentation and reporting skills to ensure compliance with regulatory standards.
  • Strong understanding of GMP regulations and compliance requirements.
  • Must be currently eligible to work in the United States without visa sponsorship and have lived in the United States for three of the past five years if a non-US citizen.
  • A REAL ID or a U.S. passport is required to get on base at WRAIR.
