    The United States Agency for International Development (USAID) has contracted through Social Solutions International partnered with CAMRIS International, to recruit and hire qualified individuals for the following position:

    This position is located on the Administrative Support Team, Office of Professional Development and Management Support, within the Bureau for Global Health (GH/PDMS).  The Administrative Support Team: oversees, tracks and processes staffing and recruitment actions for the Bureau; manages the Bureau Operating Expense budget and associated procurement activities; provides all logistical and systems support to GH staff, both Direct and Non-Direct Hires, including: space planning and assignments; network, remote and telephone access; equipment and supplies; interfaces with the Office of Security (SEC) for security clearances and badges; maintains vital records, emergency contact information, Continuity of Operations Planning (COOP) and emergency procedures.


    The Program Assistant (the Assistant) directly supports the Management Services Team (MST), tracking the status of myriad staffing and recruitment actions, working with MST staff and GH managers to develop and assemble recruitment packages, and coordinating new employee onboardings and departing employee offboardings.  The Assistant must have the ability to multitask in a fast-paced, dynamic environment with duties that include interacting with senior staff, managing day-to-day and long range projects, and supporting more complex analytical tasks such as collecting, compiling and analyzing data in order to identify problem areas and making recommendations for solution/improvement in order to meet established Office and Bureau goals and objectives.  The Assistant receives overall direction and day-to-day management from the Deputy Director of PDMS.


    • Working closely with MST staff, utilize existing tracking systems to update statuses of Bureau vacancies, recruitment actions and other staffing actions.
    • Working closely with MST staff, assist in coordinating staffing strategies with hiring officials and onsite managers in order to develop optimal recruitment strategies for vacant positions.
    • Participate in sensitive workforce planning discussions, assisting in development of both standard and unprecedented staffing solutions.
    • Using the ServiceNow ticketing system, and Computer Assisted Facilities Management (CAFM) system, liaise closely with Bureau Office Directors, Division Chiefs and program support staff to assign space and IT assets to Bureau employees.
    • Coordinate with MST staff, Office Directors, Division and Branch Chiefs, the Office of Security, and the Office of Human Capital and Talent Management to track incoming staff/anticipated staff onboardings as well as offboarding staff, across various hiring mechanisms, onboarding/offboarding staff and updating space and staffing trackers accordingly.
    • Assist in the design and maintenance of spreadsheets and databases.
    • Organize meetings and calls as needed, and prepare agenda and minutes, and follow up on action items.
    • Support MST with general logistics/support: maintain relevant calendars, call lines, and meeting setup and logistics.
    • Develop talking points, one-pagers, and presentation materials as needed.
    • Perform ad hoc administrative duties as assigned.
    • Coordinate new staff orientation and internal communication, as needed.
    • Write minutes/notes from MST meetings, as required.
    • Pursue professional development opportunities relevant to the Program Assistant responsibilities, including training, workshops, conferences, and other activities.
    • Perform other duties relevant and appropriate to the position, as assigned.




    • An associate’s degree and 3+ years of relevant experience, or;
    • A bachelor’s degree and 1+ year of relevant experience, or; an equivalent combination of education and experience.
    • Proficiency in the use of the Microsoft Office suite, Google Docs, internet and email applications.
    • Experience in the use of database applications is preferred.
    • Oral and written communications skills in English, and the ability to read, analyze, and interpret varying and complex information. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
    • Ability to add, subtract, multiply, and divide in all units of measurement, using whole numbers, common fractions, and decimals.
    • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
    • Ability to work with diverse groups in a fast-paced office environment.
    • US Citizenship as a ability to obtain and maintain a Secret security clearance.
