    The United States Agency for International Development (USAID) has contracted through Social Solutions International partnered with CAMRIS International, to recruit and hire qualified individuals for the following position:

     

    Office of Professional Development and Management Support, Bureau for Global Health, United States Agency for International Development

    INTRODUCTION

    The Program Assistant provides direct support to the Office of Professional Development and Management Support (PDMS), specifically in support of the Director and Deputy Director, performing a variety of both routine and complex administrative and analytical duties.  These duties range from administrative tasks such as scheduling briefings and meetings and maintaining program files, to more complex analytical tasks such as collecting, compiling, and analyzing data for various program documents , designing and maintaining spreadsheets in support of information tracking systems, and facilitating correspondence between the Bureau for Global Health and other bureaus and offices within the Agency.  The Program Assistant ranks tasks in order of importance and impending deadlines and handles several tasks simultaneously.  The individual must develop a working knowledge of USAID policies and guidelines as well as corporate practices and procedures.  This position has potential for professional development and training.  To perform this job successfully, an individual must be able to perform each essential duty listed below satisfactorily.     Responsibilities

    • Coordinate and assist in researching, identifying, analyzing and updating program and technical information.
    • Coordinate and assist in budget preparation and tracking Mission field support levels for each GH project.
    • Coordinate and assist Technical office staff in supporting field as necessary, travel to USAID missions as necessary, track, oversee, coordinate, and report on field support.
    • Collects and makes arrangements for distribution of material to the USAID missions, USAID/Washington offices, host country institutions, and cooperating agencies.
    • Maintain filing system, including records retirement for GH offices, both paper and electronically.
    • Coordinate the development of program documents, such as waivers, authorization documents, action memos, congressional notifications, and power point presentations.
    • Analyzes, organizes and formats technical information for use in briefings, presentations, publications and correspondence, ensuring consistency with USAID standards.
    • Analyzes and edits program communications such as cables, memoranda, and letters that seek approval or request information relative to program matters.
    • Schedule and organize program, portfolio and strategic objective reviews.
    • Maintain databases and spreadsheets for program and budget tracking.
    • Maintains and provides assistance with administrative, information, and correspondence tracking systems, and assists in the design and maintenance of spreadsheets and databases to support these systems.
    • Monitor, update, and retire Bureau and office files, both paper and electronically.
    • Maintains correspondence and program files.
    • Within assigned office/division schedule/track technical meetings and special events.
    • Supports the Office Director and Deputy Director with coordination of meeting requests, preparation and follow up.
    • Participates in all relevant technical and managerial meetings for the purpose of assisting in management duties.
    • Coordinate conference and event planning and logistical support.
    • Facilitates correspondence between the Bureau for Global Health and other bureaus and offices in the Agency, ensuring that all documentation and correspondence meet deadlines, are complete, and are in compliance with USAID rules, regulations, and standards.
    • Ensures that schedules and deadlines are met.
    • Other duties as assigned

    Qualifications

    • Associate’s degree in related field and 3+ years’ relevant experience or Bachelor’s degree and 1 year of experience.
    • Requires proficiency in the use of Google Sharing/Docs interface and Microsoft Office, with an emphasis on Excel spreadsheet skills, PowerPoint, internet and email applications.
    • Strong attention to detail and organizational skills.
    • Candidates must have a strong interest in organizational management.
    • The incumbent must have excellent analytic skills and reasoning ability.
    • The incumbent should be able to work under moderate supervision and bring a problem-solving approach to carrying out duties. 
    • US citizenship required as a secret security clearance is required and must be obtained and maintained.
