Summary

CAMRIS International is seeking an Administrative Assistant II for NAMRU-SA.  The Naval Medical Research Unit San Antonio (NAMRU‐SA) is a major research center conducting medical and directed energy biomedical research, which focuses on ways to enhance the health, safety, performance, and operational readiness of Navy and Marine Corps personnel and addresses their emergent medical problems in routine and combat operations. NAMRU‐SA conducts basic and applied research to, a) determine safe exposure conditions for personnel working with or near directed energy devices, including less‐than‐lethal weapons, b) develop diagnostic and treatment methods for directed energy causalities, c) conduct research on the protection, care, and resuscitation of combat casualties, and d) identify and effectively mitigate operational stressors and improve survivability for combat forces.

Responsibilities

  • Identify and respond to problems and issues related to organizational administrative or financial functions and exercise judgment within the guidelines and policies delineated by the Command and higher echelon policies and directives.
  • Recommend objectives and priorities for administrative and / or financial support activities based on organizational goals and develop strategies and work plans for accomplishing defined goals and associated tasks.
  • Maintain administrative programs and provide guidance and direction to the Management Teams on changes, updates or processing actions in accordance with higher echelon directives.
  • Assist in the development of short-, intermediate-, and long-range planning goals related to organizational Mission.
  • Maintain, populate and analyze command specific databases meeting personnel mission requirements and audit readiness; ensure quality control and data entry integrity measures are upheld.
  • Participate in assigned panels, groups, and committees; attend meetings and conferences to meet administrative and / or financial program requirements. Preparation of cyclical briefings, charts and presentations may be required.
  • Answer routine correspondence; answers and places telephone calls, gives information to callers, takes messages; and welcomes and directs visitors.
  • Open incoming mail, locate and attach appropriate files to incoming mail, route mail to addressees and manage out-going mailing of newsletters, promotional materials and other information.
  • Record and type meeting minutes, using either a typewriter or a computer, and photocopying.
  • Other duties include appointment scheduling and maintenance of a calendar, coordination of conferences and meetings, and customer services such as order placement and account information.

Qualifications

  • Associate’s degree in business and a clerical field with two years’ experience; Individuals with documented administrative experience of four years or greater will be considered in lieu of an associate’s degree.
  •  Experience in support of Executive staff at a major corporation or military command.
  • Strong communication skills and well-developed interpersonal skills.
  • Display discretion, good judgment, organizational or management ability, initiative, and the ability to work independently.
  • Thorough knowledge of military protocol and etiquette to deal tactfully and diplomatically with all levels of military personnel including flag officers and foreign attaches.
  • Knowledge of the application of web browsers in order to conduct research on the World Wide Web.
  • Fluent in the use of Microsoft Word and Excel software programs.
